System File Removal
AccessData uses its own “Known File Filter” to “de-NIST” files automatically, during processing. This removes all system files and any other known irrelevant file.
Categorizing Data for More Efficient Review
AccessData technology automatically categorizes data by over 100 different criteria. This helps you to organize your data by virtually any criteria, to facilitate the most effective attorney review.

Email Conversation Threading
AccessData technology automatically displays email conversations in chronological order, allowing you to review the entire conversation within context to quickly and easily determine relevance. In addition, persistent hit highlighting allows you to quickly focus on the relevant passages within the email conversations, and predictive coding allows you to, not only tag relevant emails, but all attachments included in those emails.
MetaData Filtering (Date, File Type)
Filter by metadata, such as date and author to exclude documents that are obviously not responsive and to prioritize relevant documents prior to attorney review.
De-duplication
AccessData technology automatically assigns an MD5 hash code for each item, which functions as its “digital finger print”. The MD5 hashing algorithm is an industry standard and used in many security applications, including our own cyber security and computer forensic solutions. Hash codes are calculated using the contents of an item, whether that item is an email or loose file. Using this information, AccessData’s eDiscovery technology is able to automatically de-duplicate files. De-duplication can either be performed within a source (or custodian) or across sources. In addition, clients can customize de-duplication options for email.
Native File and Text View
Clients using the AccessData technology review platform can view files in both native file format and text. At any time during the early case assessment and attorney review processes, reviewers can easily open the actual document or for many file formats view it in its native form within the review interface.
TIFF-ing Documents
Every case is different with regard to time constraints, complexity and so on. With AccessData, clients can choose to have document TIFFing done prior to the review phase or they can generate TIFFs themselves as needed with AccessData’s TIFF-on-the-Fly capabilities. It may more cost effective to do it up front or on the fly.
Paper Document Conversion
AccessData can take data in any form and import it into the AccessData platform. We manage image scanning and enforce quality control to ensure that every scanned image is accounted for and that control number gaps, duplicates, overlaps and orphaned images or records are completely eliminated.
Our solution automatically OCRs each scanned image and during review, you’re given both the text view and the native format view within the same interface. The OCR text is indexed along with your electronic documents, allowing you to search and filter all documents pertaining to a case with ease.
For all scanned images, even those received on opposing and third-party scanned CDs, we check for the following to ensure quality:
- Accurate beginnings and endings of documents
- Control number gaps
- Page number gaps
- Orphaned images and references
Data Standardization
Your AccessData litigation support team will test all images and database files against each other to ensure the integrity of opposing counsel data. We will make sure all images that are referred to and all database records referred to are properly linked to each other and that all images referenced are in fact available and that all records have images. We will consult with you to determine how best to handle any integrity issues whether its best to have data resent or to work with the data we have or to fix the data, depending on how extensive the issues are.
We will also normalize fields of data so that the data incoming is usable and sortable. An example of this standardization would be Bates number standardization. In addition to providing the original bates number, we will, if necessary, create a Bates number consistent across all productions so the Defense Group can appropriately sort the productions.
Finally, data mapping is the process of taking the incoming data fields and making sure all of the fields containing the same type of data are named the same. For example, the Author field may be called "From", "Author", "Creator", "Authored", etc. It is critical that all data is mapped appropriately prior to loading data, and AccessData ensures that it is.
Robust Reporting to Illustrate Chain of Custody and Project Management
AccessData clients receive access to rich reporting information. View processing results and search metrics in granular detail, as well as activity logs to illustrate chain of custody. Reporting can be done by custodian or across legal matters.
